1. Automated Text Response (Immediate)

When a lead submits a form or calls and you miss it, they should receive an automated text within 60 seconds. Here is the exact template we use:

Hi [First Name], thanks for reaching out to [Shop Name]! We got your inquiry about window tinting. One of our specialists will call you within the next 5 minutes. In the meantime, feel free to check out our work: [link to your gallery/reviews]. Talk soon!

This text does three things: acknowledges their inquiry, sets an expectation (5 minutes), and gives them something to browse (your reviews/portfolio) while they wait. That last part is subtle but powerful — if they are looking at your before/after gallery, they are not calling your competitor.

2. Instant Notification to Your Phone

Every new lead — whether it comes from a form submission, a missed call, or a Google Maps click — should trigger an immediate push notification to your phone. Not an email you check later. A notification you see right now.

Tools that do this well: - Google Ads lead form extensions with SMS notifications - Web form services with webhook notifications - CRM platforms with mobile apps (most do this natively now)

3. A Callback Script

When you call back within 5 minutes, here is what to say:

"Hey [Name], this is [Your Name] from [Shop Name]. I saw you reached out about window tinting — I wanted to call you right back. What vehicle are you looking to get tinted?"

Notice: no long introduction, no upsell, no pricing discussion yet. The goal of the callback is to book the appointment. Get them committed to a date and time. Pricing can happen in person.

If they ask about pricing on the phone (they will), give a range:

"For a standard sedan with ceramic tint, most customers pay between $350 and $500 depending on the film grade. We can give you an exact quote when you come in — it takes about 5 minutes. When works best for you this week?"

Always redirect to booking.

Setting Up Automation Without a CRM

You do not need a $200/month CRM to automate follow-up. Here is a simple setup:

Google Forms + Zapier + Twilio: 1. Website form submission triggers a Zap 2. Zap sends you a push notification via Slack or SMS 3. Zap sends the customer an automatic text via Twilio 4. Total cost: roughly $30/month

Simpler option: Google Business Messages Enable messaging on your Google Business Profile. Leads can text you directly from your Google Maps listing. Set up an auto-reply message with your expected response time.

The ROI of Speed
